We are pleased to announce that in 2025, Recorded Music NZ will be upgrading to a new system to process data and distributions. The system is being developed for us by PPL, our equivalent collective management organisation in the UK, adapted from their own widely used technology.

The new system will include modules and tools for the Recorded Music NZ team to use behind-the-scenes, and a new portal for all registered artists and rights holders to use to manage their registrations.

The updated system will improve the efficiency of our core activities: collecting and processing millions of lines of data and determining distributions based on that data.

The new portal (“My Recorded Music”) will give rights holders and artists greater visibility and more control over managing repertoire. When the portal is live in early-2025, rights holders and artists will be able to check their details, register repertoire and easily communicate with our team.

The development of the new system is well underway and we are starting the process of securely migrating data and information from our existing system.

We have progressed our work with PPL alongside our colleagues at PPCA, our equivalent collective management organisation in Australia, and PPCA will also be adopting its own new system delivered by PPL.

We are confident this is a positive step to increase efficiencies, and allows us to leverage existing well proven systems backed by an extensive development team – rather than take on the risk and delay of developing a new system locally.

You do not need to take any action now. We will be in contact again soon with more details about how the system change will affect rights holders and artists.

What does the new system mean for artists and rights holders?
The good news is that for rights holders managing catalogues across different territories, the new system will make things more streamlined and consistent.

For New Zealand artists, local rights holders and local labels, the main change will be the new portal and the need to get set up with a secure online account to manage your dealings with Recorded Music NZ and ensure that you can receive distributions. The existing portal will be phased out.

How will the new system affect my distribution?
The system change will improve and automate the processes Recorded Music already uses to calculate your distribution, and the portal will enable you to access enhanced reporting.

Does this mean Recorded Music is outsourcing functions to the UK?
No. Recorded Music will be acquiring software and services from PPL, but the Recorded Music team will continue to liaise with artists and rights holders in Aotearoa and will continue to lead the collection and processing of data and calculating distributions.

How will my privacy be protected as part of this process?
At Recorded Music NZ we take your privacy seriously. Any personal information we hold and process about our registered artists and rights holders for purposes of distribution is managed according to the principles of the Privacy Act 2020 and our Privacy Policy. There are safeguards in place with PPL and our other partners to protect personal data that is stored in the cloud and/or processed outside Aotearoa.
